Kona Weddings Agreement Once we have discussed your wedding and received your deposit Kona Weddings will confirm the package, location, and marriage appointment no later than 30 days before the ceremony. Kona Weddings will provide you with the necessary location maps and phone numbers to make your wedding day as stress-free as possible. We understand that the balance of our wedding is due 30 days prior to the ceremony. We understand that if we need to reschedule our wedding date the deposit will be applied toward the new date. If vendors have already been scheduled and cannot be booked for the new date, all charges for that vendor will be paid as first scheduled with the credit card on file. If we need to cancel our wedding for any reason our deposit is non-refundable. If we need to cancel our wedding within the 30 day time period we will forfeit all monies paid. We understand that vendor prices are subject to change without notice. If a vendor raises his/her rates, we will be charged accordingly. This includes: flowers; limo; singers; harpists; photographer; minister; vidiographer; etc. Our basic wedding package will remain the same and we will be notified in advance of any changes in prices. Elopement package payments are due immediately upon booking with Kona Weddings. All weddings scheduled within 30 days of the ceremony must be paid by credit card or certified check. No personal checks will be accepted. We understand that if we require site visits with the coordinator we will be charged $150 per hour for all travel times. We understand that locations requiring more than one hours drive will be charged $50 per hour per crew member. (This includes the City of Refuge) We understand that on-site license appointment assistance by a Kona Weddings representative is $50. We understand that upgrades to any package will be billed accordingly. Downgrades are allowed but will be invoiced at original price of agreed wedding. (We cannot book a Tropical Paradise and then change our mind to a Sunset Special. We cannot order a DVD and then change our mind. Vendors are booked the day we book our wedding and they are obligated to us for our special day.) We understand that ground fees for locations are due at time of deposit and non-refundable no matter what the situation or circumstances. Ground fees are paid to the correct parties and Kona Weddings does not charge any additional amounts. We understand and agree that if Kona Weddings does not receive final payment within the 30 calendar days of our confirmed wedding date, I/we authorize the remaining balance to be charged on the credit card on file. If an alternative credit card is required to pay the balance it is our responsibility to notify Kona Weddings of the change. I/we understand that if final payment is not paid within the 30 days our wedding can be cancelled. We understand that it is our obligation to be familiar with the location of the ceremony site and to make sure that we, and any guests, arrive at the scheduled time set forth by the coordinator. We understand that any delays caused by us or any member of the wedding group will be charged according based on the vendors involved in the ceremony. All vendors are paid based on hourly wages and additional charges will incur if the ceremony does not begin on time. We understand that it is our obligation to be present and be on time for our license appointment. If we miss our license appointment it is not the responsibility of Kona Weddings to make us another appointment nor is it Kona Weddings responsibility that the ceremony did not take place because of our negligence. We understand that it is our responsibility to bring the marriage license to the ceremony location for the minister. If the minister has to return to our place of lodging for the official signing of the license we will billed an additional $150. We understand that the ceremony cannot begin until the minister has the license in his/her hands and any delays will be charged accordingly. We understand that the wedding coordination fees are based on hourly wages and each wedding package has a designated price and time restraints for the coordinator. All phone calls, emails, faxes, paperwork, vendor scheduling, site time, etc. is charged by the hour. The minimum time for the scheduled coordinator is one hour. All correspondence will be noted and charged accordingly at a rate of $75 per hour. All ceremony delays will be charged at a rate of $75 per hour. We understand that the minister fees are based on hourly wages and each wedding has a designated price and time restraints for the minister. The maximum time for the minister is one hour. Any overages will be charged accordingly at a rate of $200 per hour. We understand that the photographer fees are based on hourly wages and each wedding package has a designated price and time restraints for the photographer. The maximum time for the photographer is one hour. Any overages will be charged accordingly at a rate of $200 per hour. Relocation from the church to the beach for additional photos will be charged $100 for take-down, set-up, and travel fees. We understand that the vendor fees are based on hourly wages and each wedding has a designated price and time restraints for the vendors. The maximum time for all vendors is one hour. Any overages will be charged accordingly at a rate of $250 per hour. We understand that the limo fees are based on hourly wages and any overages will be charged accordingly at a rate of $125 per hour. We understand that if the credit card on file is declined our wedding maybe cancelled. We agree to give Kona Weddings a current credit card that will cover the expenses at the time they are rendered. We also understand that we may pay by money order or personal check at anytime. Payments can also be taken from the time we book the wedding, until 30 days prior. We understand that if we have guests at the wedding they ARE allowed to take non-flash photos during the ceremony after the head photographer’s flash has discharged. We do understand that guests are NOT allowed to follow the photographer around the location to take portrait shots while the photographer is trying to get the best shot possible in working with the timeframe scheduled. Amateur video is also allowed, but the camera must be mounted on a tripod and placed in accordance with the head photographers’ directions. We understand that we are responsible for the behavior of our guests at all times.
